How to Set Up and Configure QR Order and Pay

Who Is This For?

F&B merchants setting up QR Order and Pay for the first time, or merchants who need to change how customers pay (Pay Now, Pay Later, or Pay at Counter), update store details, or add new payment options.

QR Order and Pay lets your customers order and pay from their phones by scanning a QR code at the table or counter.

This article walks you through the complete setup in BackOffice (store settings, kitchen stations, products, bank account, enabling QR Order and Pay, choosing payment modes (Pay Now, Pay Later, Pay at Counter), and configuring default payment options).

Note:

  • You can change your payment mode (Pay Now to Pay Later to Pay at Counter) at any time. The change takes effect immediately for new orders.


Before You Begin

  • You need BackOffice owner or manager access.

  • You need at least one F&B store created in BackOffice.

  • You need your bank account details on hand to receive QR payouts. See here.

  • For Pay at Counter, you need at least one active POS register in the store.

  • For kitchen tickets, you need at least one kitchen printer connected and named in BackOffice. See here.


Step-by-Step Guide

Work through the sections in order. If you are new to QR Order and Pay, read this article first so the checkout options make sense.

1. Add products and mark them for QR

Create or review your items before you build menu collections.

Note: Each product must have 'QR Order and Pay / Delivery' ticked on the 'Online Info' tab or it will not appear on the Beep menu.


2. Complete your store profile (BackOffice)

Your legal store name, address, contact, and map pin feed the customer facing menu and delivery distance logic.

Your store-level details (name, address, contact, location pin) appear on the customer-facing menu, so they need to be correct before you go live.

1. In BackOffice, go to 'Settings', then open 'Stores' and stay on the 'General' tab.

2. Fill in all required fields. If you have multiple stores, select the store you want to configure first, then repeat for each store.

3. Add your 'Google Map Address Location'. Type your address and pick the matching result from the dropdown. This is what customers see for directions and what determines delivery distance for any delivery channels you also use.

Note:

  • If the address dropdown does not show your store, refine the search by including the street name, building, or postcode. Free-typed addresses without a map pin will not save.


3. Open the 'Store Settings' tab inside QR Order and Pay

This tab controls whether the store sells online and how new orders are accepted.

1. Open the 'Store Settings' tab and select your store.

2. Tick 'Sell this store's inventory online', then tick the 'New Order - Paid'. Click 'Save'


4. Set your operating days and hours

Set the days and times your store accepts QR Order and Pay orders. When a customer scans the QR code outside these hours, they see a 'Closed' message and cannot place an order. This stops orders coming in after your kitchen has closed.

1. On the same page, scroll to the 'QR Order and Pay Settings' section.

2. Choose your operating days.

  • By default, all days (Monday to Sunday) are ticked and the hours are set to 00:00 to 24:00 (open all day).

  • Untick any day your store is closed. An unticked day shows as 'Closed'

3. Set the hours for each day. To use the same hours for every day, set Monday first, then click 'Apply to all'.

  • To add a second or third time slot in one day (for example, a lunch and a dinner service), click '+ Add hours' on that day.

  • You can add up to 3 time slots per day. To remove a slot, click 'Remove' next to it.

Note:

  • Times come in 30-minute steps in 24-hour format. Your closing time must be later than your opening time, and hours cannot pass midnight (for example, 22:00 to 02:00 is not allowed).

  • To set up an operation hour where your business runs past midnight, set up the first timeslot to start at midnight, and the last timeslot to end at midnight.

  • It best setting your closing time 30 minutes or more before your actual closing time- it prevents receiving last-minute orders the kitchen cannot fulfil.

  • If two slots on the same day overlap (e.g. 11:00–14:00 and 13:00–16:00), the error "Time ranges cannot overlap" appears. Adjust one of the slots before saving.

7. Click 'Save'. Your new hours apply to QR Order and Pay straight away.


5. Set vacation mode

Use Vacation Mode to close QR Order and Pay for a set date range, such as a public holiday or a renovation. While a vacation period is active, customers who scan your QR code see a 'Closed' message and cannot order.

1. On the same 'Store Settings' tab inside QR Order and Pay, scroll to the 'Vacation Mode' section.

2. Pick a 'start date' and an 'end date' using the date pickers (DD/MM/YYYY). Then; click 'Apply'.

3. Click 'Add'. The vacation period appears in the list above the date pickers.

  • To remove a vacation period, click the remove icon next to it in the list.

What your customers see when the store is closed?

When a customer scans your QR code while the store is outside its operating hours, on a break, on an off day, or on vacation, they see a 'Closed' tag under your store logo and a pop-up message.

They can still view the menu, but items are greyed out and cannot be selected until the store reopens.

6. Build collections on the 'Collection' tab

A 'collection' is a group of products that appear together on the Beep menu (for example, "Bestsellers", "Starters", "Drinks"). Collections control the order in which items show up to the customer.

1. In BackOffice, go to 'Online Orders', then open 'QR Order and Pay', then open 'Collection'.

2. Click 'Create Collection'.

3. Give the collection a 'Name' (this is what the customer sees, e.g., "Lunch Specials").

4. In 'Condition(s)', choose how products are pulled into this collection:

  • 'Products by Category' lists all items in a chosen category.

  • 'Products with Tags' lists all items with a specific tag.

  • 'Specific Products' lets you manually pick items.

Note:

  • To use Categories or Tags, set them on each product in 'Products', then open 'Manage Products' first.

5. Under 'Sort By', pick how items appear inside the collection:

  • 'Price: High to Low'

  • 'Price: Low to High'

  • 'Ascending: A to Z'

  • 'Descending: Z to A'

6. Click 'Save'. The collection is now live on your QR and Beep menu.

Note:

  • To re-order which collection appears first on the menu (e.g., "Bestsellers" before "Starters"), drag and drop the collections on the Collection page list.


7. Feature products on the 'Featured Products' tab

1. In BackOffice, go to 'Online Orders', then open 'QR Order and Pay', then open the 'Featured Products' tab.

2. Pick the items you want to highlight at the top of the Beep menu (for example chef specials or seasonal drinks).

3. Click 'Save'.

Note:

  • Featured items still need to be part of a collection or otherwise available on QR Order and Pay. If an item is hidden from the channel, featuring it will not surface it to customers.


8. Guest checkout and payment behaviour on the 'General' tab

Still in 'Online Orders', then open 'QR Order and Pay', open the 'General' tab.

1. Toggle 'Guest Checkout' on if you want customers to order without signing in.

2. Scroll to 'QR Order and Pay Payment Setting' and configure Pay Later and Pay at Counter per store.

9. Enable Pay Later

1. In 'Online Orders', then open 'QR Order and Pay', then open the 'General' tab, scroll to 'QR Order and Pay Payment Setting'.

2. Toggle 'Enable Pay Later' on.

3. Tick the stores where Pay Later should be available. Click 'Save'.

Notes:

  • When Pay Later is on, all dine-in QR orders for the selected stores switch to the Pay Later flow.

  • The kitchen docket prints when the customer taps 'Place Order', and the customer pays later.

  • To return to Pay Now, simply toggle Pay Later off.

10. Enable Pay at Counter

1. In the same 'QR Order and Pay Payment Setting' section, toggle 'Enable Pay at Counter' on.

2. Tick the stores where Pay at Counter should be available. Click 'Save'.

Notes:

  • Pay at Counter requires at least one active POS register in the store. If no register is signed in, customers will not see the Pay at Counter button.

  • Selecting 'All Stores' automatically enables Pay at Counter on any new store you add later.


11. Store branding and promotions

1. In the 'General' tab, scroll down to add a 'Store Logo' and complete the 'Beep Business Profile' (display name, description, hours). These appear at the top of the customer-facing menu.

Notes:

  • 'Store logo' must be a coloured logo so it stays readable on light and dark phones.

  • 'Store display name' matters most when you run multiple outlets and want each QR menu to show the correct branch name.

  • For featured promotions on Beep, set up promotions in BackOffice first, then apply them to the QR channel. See here.


12. Enable QR Order and Pay and confirm payouts

1. On the same 'General' tab, find 'Enable QR Order and Pay' and switch it 'On'.

2. Click 'Save'.

3. Confirm your store profile from section 2 is complete and your bank account is linked for settlements. See here.


Confirm Default Online Payment Options

QR Order and Pay supports these online payment methods by default. They are pre-enabled for every customer; you do not need to switch them on individually.

Troubleshooting

Issue

What to do

The QR menu does not show a product I added.

Open the product, go to 'Online Info' tab, and confirm the 'QR Order and Pay/Delivery' checkbox is ticked. If you use Collections, check the collection's condition rules. See here.

My customer cannot see the 'Pay at Counter' button.

Confirm at least one POS register in the store is signed in and online. If no register is active, the button is hidden. Also check that Pay at Counter is toggled on for the correct store.

Customer paid in the Beep app but the order is not on POS.

The payment likely failed silently. Do not release the food. An automatic refund will be issued. See troubleshooting in this article.

I want to disable the Pay button so customers can only Pay at Counter.

In 'Online Orders', then open 'QR Order and Pay', then open the 'General' tab, toggle 'Enable Pay at Counter' on and toggle 'Enable Pay Later' off.

Pay Now will still be the default unless you also disable e-wallet/card methods at the gateway level.

Kitchen docket did not print for a QR order.

Confirm the printer is named under 'Settings', then open 'Account', then open the 'F&B' tab, and scroll to 'Kitchen Stations'.

Customer's eWallet shows successful payment but no order in BackOffice.

Payment failed; do not release the order. An automatic refund is triggered.


FAQs

1. Can I switch from Pay Now to Pay Later (or vice versa) without reconfiguring everything?

Yes. Just toggle 'Enable Pay Later' on or off in the General tab. The change applies immediately to new orders. Orders already placed continue with their original mode.

2. Do I need to set up Pay at Counter for every store separately?

You can select individual stores or tick 'All Stores'. If you tick All Stores, any new store you add later automatically inherits Pay at Counter.

3. Can I have multiple bank accounts for one store?

No. Only one bank account per store. To split payouts, contact StoreHub Support.

4. Why does my Pay Later order disappear from the POS after 7 days?

Pay Later orders are auto-removed from POS view after 7 days, but the order still exists. The customer can re-scan the table QR to access and pay. To avoid this, settle Pay Later bills within 7 days.

5. What happens to cashback if two customers share the same table QR?

The customer who completes payment via the Beep payment page earns the cashback. For Pay at Counter, whoever scans the QR and taps 'Pay at Counter' is recorded as the paying customer.

6. Can I add a Pre-Order setup for QR Order and Pay?

Pre-Order is a Beep Delivery feature. For QR Order and Pay, customers always order in the moment. To set up Pre-Order for delivery, see here.

7. I only changed the General tab. Why is my menu still empty?

Collections and product visibility are controlled on the 'Collection' tab and in 'Products', then open 'Manage Products'. Work through sections 4 and 1 in this article, then refresh the Beep menu.

8. I set Vacation Mode for QR Order and Pay, but Beep Delivery is still taking orders. Why?

Vacation Mode is set separately for each channel. Setting it for QR Order and Pay does not pause Beep Delivery. To pause deliveries, open the Beep Delivery settings page and set Vacation Mode there too.
