Who Is This For?
StoreHub merchants who run promotions on the offline POS register.
Overview
This article shows how to create promotions that apply on POS only or include POS as the channel. It covers Take Percentage Off, Take Amount Off, Buy X Get Y For Free, Combo Set or Package or Bundle, and Override Existing Price. It also explains customer tags, required product purchase, and allowing a promotion to repeat in the same transaction.
For the 6 types decision table, see here; only 'Take Percentage Off' and 'Take Amount Off' can run on POS and online in the same promotion.
For Webstore, Beep Delivery, QR Order and Pay, or Free Shipping, see here.
Before You Begin
You use Advanced or Pro.
You can edit promotions in BackOffice.
Staff can sync the POS register after you save changes.
You created a separate online promotion if you also sell on Webstore or Beep channels.
Step-by-Step Guide
Create a Promotion for POS
1. Log in to your BackOffice, click on 'Promotion' title page, then select '+ New Promotion'.
Note: On the 'Promotions' page, promotions apply in order from top to bottom. When several promotions are enabled, they apply one after another starting from the top - drag a row by its handle to move it up or down. You can also search promotions by name and filter the list by store. When several promotions match a sale, the POS register applies all of them and adds the discounts; no setting makes 2 promotions either-or. List order matters only for 'Combo Set/Package/Bundle' and 'Buy X Get Y For Free', which use up the units they take. Example: 10% off 'All Orders' and 25% off 'Orders over or equal to' 5000 on a 6000 bill take 600 + 1500 = 2100 off, bill 3900.
2. Type a promotion name. This name can print on receipts when the promotion applies. On the POS register, a promotion on products shows its name under each discounted item with the discount as a negative amount. On the receipt, each discounted item gets an extra line under it with an asterisk, the promotion name and the discount. A promotion on the whole order shows in the cart as its own row after the items. The printed receipt splits that discount across the items by each line's subtotal. Each line shows the promotion name and its share: 10% off 20.00, 10.00 and 5.00 prints 2.00, 1.00 and 0.50.
3. Choose stores.
4. Select channel 'POS'. Do not tick Webstore or Beep channels on this record if this promotion is POS only. The 'POS' channel has no dine-in or takeaway option of its own, so a register promotion cannot be limited to dine-in orders.
5. Tick 'Enable' if the promotion should start when you save. In an account with Beep Delivery, the Beep banner on a saved promotion only reports whether it can be displayed on your Beep store; after you sync, your POS register applies it while enabled.
6. Set start and end dates. Leave the end date blank if the offer should stay open until you disable it.
Effective On Every: pick the weekdays the promotion runs. Leave all days selected for every day; tick only Saturday and Sunday for a weekends-only promotion.
From / To: set the time-of-day window the promotion is active. Default is 00:00 to 24:00 (all day); for example set 11:00 to 14:00 for a lunch-only promotion. Times are whole hours only, so 15:00 to 17:00 works but 15:30 to 17:30 is not possible.
Note: The day and time are checked at checkout (when the bill is settled), not when the order starts. A 15:00 to 17:00 happy-hour promo will not apply to a bill paid at 17:05, even if the order was opened earlier.
Note: Promo codes are optional on POS. Online channels need a promo code; for 'Take Percentage Off' and 'Take Amount Off' you can also tick POS in the same promotion, and the POS applies it without the code.
Set Up Take Percentage Off on POS
1. Under discount type, select 'Take Percentage Off'.
2. If it requires specific product purchase to enjoy this promotion, check the Require Specific Product Purchase, add the relevant products & you can even set the Minimum quantity of purchase.
You can add the products through specify products of a Category, Tag or specific products.
Note:
Take Percentage Off promotion only applies when the products selected share the same tax code.
A tax code is the tax setting on a product. If the products you select have different tax settings, the promotion does not apply to them together.
Example:
All Customers must purchase at least 2 Burgers to get 10% Off. This applies to orders spend over or equal to RM 100.
Required Products section should be set up this way:
Specific Products: Burgers
Min Quantity: 2
3. Enter the percentage value.
4. Under 'Apply to', choose all orders, orders over a minimum amount, category, tags, or specific products.
All Orders | This promotion applies to all transactions. |
Orders over or equal to | Discount is only applicable for orders over or equal to the specified amount. The POS register checks this amount before any promotion is taken off, and without service charge. Example: items 95 plus service charge 9.50 are checked as 95, so a 100 threshold is not met. |
Products of Category | This selects the category that the promo is applied. The promotion will be applied to either one of the categories if there is more than one category. |
Products with Tags | This selects the tags that the promotion applied to. If there is more than one tag, the promotion will be applied to either one of the tags. |
Specific Products | This selects the products that the promotion applied. Promotion will be applied to either one of the products if there is more than one product. 'Apply To' takes one choice only, so a single promotion cannot both discount a specific product and require the order to reach a minimum amount. |
5. Click 'Save'.
Note:
Sync your POS register after creating any POS promotion so tills load the latest rules.
Set Up Take Amount Off on POS
1. Under discount type, select 'Take Amount Off'.
2. If it requires specific product purchase to enjoy this promotion, check the 'Require Specific Product Purchase', add the relevant products & you can even set the Minimum quantity of purchase.
You can add the products through specify products of a Category, Tag or specific products.
Note:
Take Amount Off promotion only applies when the products selected share the same tax code.
Example:
All Customers must purchase at least 2 Burgers to get RM 5 Off. This applies to all Orders.
Required Products section should be set up this way:
Specific Products: Burgers
Min Quantity: 2
3. Enter the fixed amount to deduct from the bill when rules match. 'Take Amount Off' comes off once per application, not once per unit. To take it off every unit, set 'Min Quantity' to 1 and tick 'Allow promotion to repeat in the same transaction'. Example: 5 off, 3 units at 10: 15 off with repeat, 5 off without. Important: with repeat ticked and both 'Min Quantity' and 'Max Quantity' blank, the items can ring up free.
4. Set 'Apply to' for the basket scope you need.
5. Click 'Save'.
Note:

Set Up Buy X Get Y For Free on POS
Use this when a customer buys items from 1 product group and gets the cheapest items in that group free, for example buy 1 free 1. The free unit is always the cheapest qualifying unit, and you cannot pick a separate product to be the free one. 'Buy a meal, get a drink free' is not safe: if meals and drinks share 1 group, 2 meals make 1 meal free.
1. Under discount type, select 'Buy X Get Y For Free'.
2. Choose category, tag, or specific products that qualify for the buy side. Enter how many items the customer must buy, then how many they get free (the box before 'Items For Free'). For buy 1 free 1, enter 1 in both boxes.
3. Click 'Save'.
Notes:
When 2 different items qualify, the system always applies the free discount to the lowest-priced qualifying unit. The cart needs X plus Y qualifying units before any unit is free. Example: buy 1 get 1 with 1 unit gives nothing free, 3 units give 1 and 4 units give 2.
Sync your POS register after creating any POS promotion so tills load the latest rules.
Set Up Combo Set, Package, or Bundle on POS
1. Under discount type, select 'Combo Set/Package/Bundle'.
2. Enter the package price customers pay when all components are in the cart.
Example:
A Burger Combo (Burger + Fries) is sell at RM 10.
3. Add each component with quantity using category, tag, or specific products. Keep tax codes aligned with combo rules. 1 row can be a category and another a specific product. A combo has no 'Apply To', 'Min Quantity', 'Max Quantity', repeat box or 'Require Specific Product Purchase'. The 'Package Price' is the price of the whole set.
Note:
Combo Set/Package/Bundle promotion only applies when the products selected share the same tax code as the combo.
Based on example above, the products can be set up this way:
Specific Product: Burger; Quantity: 1
Specific Product: Fries; Quantity: 1
This means the customer must order at least 1 Burger + 1 Fries Several products in 1 row are alternatives, so any 1 of them fills that row. Example: row 1 lists Coke and Sprite and row 2 lists Burger, each with 'Quantity' 1: a Burger with either drink gets the package price. to get the combo at RM 10.
4. Click 'Save'.
Notes:
Combo Set bundles different products at one price. Do not confuse it with Override Existing Price, which targets the same SKU at volume.
Sync your POS register after creating any POS promotion so tills load the latest rules.
Set Up Override Existing Price on POS
1. Under discount type, select 'Override Existing Price'.
2. Tick 'Require Specific Product Purchase' when shoppers must buy a gate quantity first. Add rows and minimum quantities.
Note:
Override Existing Price promotion only applies when the products selected share the same tax code.
Example:
Customer must purchase at least 2 sets of Burger to get 1 Fries at RM 1.
Required Products section should be set up this way:
Specific Products: Burgers
Min Quantity: 2
3. Enter the override price for the discounted product lines. The override price is for 1 unit, not the whole set. Example: to sell 3 pieces for 27, key in 9, because 27 makes each piece cost 27.
Based on the example above, RM 1 (Fries) should be key in under Price section.
4. Under 'Apply to', choose the lines that receive the override price. Set min and max quantity when you need a cap.
Based on the example above, the Apply to section should be set up this way:
Apply To: Specific Products (Fries)
Min. Quantity: 1 & Max. Quantity: 1
This way, customer can only get 1 set of Fries at RM 1. If more than 1 set Fries is added to the bill, the promotion will not applied. For a price at 3 pieces and another at 5, create 2 promotions, each with 'Min Quantity' equal to 'Max Quantity' and repeat not ticked. Example: normal price 10, 3 at 9 and 5 at 8: 3 pieces ring up 27, 5 ring up 40 and 6 ring up 60. A blank 'Max Quantity' on the 3-piece promotion lets both discount the same units, so 5 pieces ring up 35.
5. Click 'Save'.
Notes:
'Override Existing Price' sets a new price for the products under 'Apply To', and you can make it apply only when the customer also buys the products under 'Require Specific Product Purchase'. Take Amount Off reduces the total bill instead.
Sync your POS register after creating any POS promotion so tills load the latest rules.
Set Customer Eligibility on POS Promotions
1. Open a Take Percentage Off or Take Amount Off promotion that runs on POS.
2. Go to the Customer Eligibility area.
3. Choose tag-based eligibility when you want only tagged customers to receive the deal. A single promotion can carry both a customer tag and an 'Orders over or equal to' minimum spend.
Everyone | Specific groups of customer |
i. All Customers
| i. By Customer Tags
ii. First Time Customers
iii. For Membership
|
4. Click 'Save', then sync POS registers.
Note:
Customer Eligibility for Take Percentage Off and Take Amount Off does not apply to other discount types.- When a tagged customer is added to a sale at the POS, the discount is applied automatically. With several tags selected, the customer needs only 1 of them, and a sale with no customer added gets no tag promotion. Example: with tags VIP and Gold selected, a customer tagged Gold qualifies and one tagged Staff does not.
Set Require Specific Product Purchase on POS Promotions
1. Open or create a promotion that supports the requirement.
2. Tick 'Require Specific Product Purchase'.
3. Choose 'Products of Category', 'Products with Tags', or 'Specific Products'.
4. Add the product/category/tag according to your choice.
5. Enter minimum quantity for each row.
6. Click 'Add Product' when more gate lines are needed.
7. Click 'Save', then sync POS if the promotion targets registers.
Note:
'Require Specific Product Purchase' only decides when the promotion starts. 'Apply to' decides where the discount lands. If you want the discount on one product only, set 'Apply to' to 'Specific Products' and add that product. If you leave 'Apply to' on 'All Orders', the discount comes off the whole bill.
Allow Promotion to Repeat in the Same Transaction
1. Open a Take Percentage Off, Take Amount Off, or Override Existing Price promotion on POS.
2. Enable 'Allow promotion to repeat in the same transaction'. The tick box shows only when 'Apply To' is set to 'Products of Category', 'Products with Tags' or 'Specific Products'.
3. Set minimum and maximum quantities. 'Min Quantity' and 'Max Quantity' only decide when the promotion applies, and every unit in range is discounted, the first unit included. Min can equal Max, and a blank 'Max Quantity' means no limit. Example: 10% off, Min 2, Max 3, units at 10: 1 unit gets nothing and 3 units get 3 off.
If 'Allow promotion to repeat in the same transaction' is ticked, the promotion applies once for every full group of 'Min Quantity' units. Each time, it covers up to the 'Max Quantity'. Example: Min 3, Max 3, 7 units: the promotion applies 2 times, so 6 units are discounted and 1 pays full price.
If it is NOT ticked and the cart holds more than the maximum quantity, the promotion is removed completely and the customer pays full price on every item. It is not capped at the maximum. Example: 10% off, Min 3, Max 5, repeat not ticked, units at 10: 4 units get 4 off, but 20 units get no discount.
4. Click 'Save', then sync POS.
Give the second item 50% off instead of free
Use 'Take Percentage Off' at 50, set 'Apply To' to those products with 'Min Quantity' 1 and 'Max Quantity' 1, and tick the repeat box. Then tick 'Require Specific Product Purchase' on the same products with 'Min Quantity' 2. BackOffice has no setting to choose the cheaper item, so the 50% may land on the higher-priced item. Example: 4 items at 3000, 3000, 2500 and 2500 ring up 8500 when both 2500 items get the 50%, but can ring up 8000 or 8250.
Discount 2 items in every 3
With 'Take Percentage Off', set 'Min Quantity' 2, 'Max Quantity' 2 and repeat ticked, then tick 'Require Specific Product Purchase' on the same product with 'Min Quantity' 3. 3 units get 2 discounted, 4 or 5 units still get 2, and 6 units get 4.
Edit or Delete a POS Promotion
Edit a Promotion
1. Go to 'Promotions' and open the promotion.
2. To edit, change fields, then click 'Save'.
Delete a Promotion
1. To delete a promotion, disable the promotion first.
2. Scroll to the bottom of the promotion page and click 'Delete'.
Sync on every POS register that should drop or refresh the rule.
Troubleshooting
Problem | Solution |
Promotion missing on POS | Confirm channel 'POS' is ticked, the promotion is enabled, dates are valid, then sync the register. Drag the promotion higher in the list if your team uses ordering. Also check that a store is chosen and that the promotion is not a unique promo code. Registers on POS app versions below 2.5 receive only 'Take Percentage Off', 'Take Amount Off', Combo and Buy X Get Y promotions without 'Require Specific Product Purchase'. |
Buy X Get Y never applies | Confirm qualifying categories, tags, or SKUs are in the cart. Remember the cart needs X plus Y qualifying items, so buy 1 get 1 needs 2, and the free line is always the lowest-priced qualifier. Sync after save. |
Combo price will not apply | Check every component line, quantity, and shared tax code rules. Sync after save. |
Override applies once then stops | Review max quantity and repeat settings. Sync and retest. |
Deleted promotion still appears on POS | Disable or delete in BackOffice, confirm list order, then sync all registers. |
Discount vanishes when a second item is added | This usually means 'Allow promotion to repeat in the same transaction' is not ticked and the cart holds more than the maximum quantity.
Tick it so the promotion repeats instead of being removed. The products under 'Require Specific Product Purchase' and under 'Apply To' may be the same; that overlap is how 'buy 2, second at 50% off' is built. The required 'Min Quantity' and the 'Apply To' 'Min Quantity' and 'Max Quantity' decide the count together: with required Min 2, Apply To Min 1, Max 1 and repeat ticked, 2 units of 4 are discounted, not the whole line. |
The discount comes off the whole bill instead of the one product | 'Require Specific Product Purchase' only decides when the promotion starts. Open the promotion, set 'Apply to' to 'Specific Products', and add the product that should be discounted. |
FAQs
1. Can I use Buy X Get Y on Webstore with this screen?
No. Build a separate catalogue approach. For bundle-style selling online, see these articles.
2. Do I need a promo code on POS?
No promo code is needed: POS promotions auto-apply when basket rules match, each time an item is added or changed. Only unique promo codes wait for the cashier to pick them from the 'Select Promo' banner.
3. Must I sync after every POS promotion change?
Yes. Sync is compulsory so registers load new, edited, or removed promotions.
4. Where do membership tiers fit?
Membership-linked rewards are covered in this article. Use this POS article for standard BackOffice promotions on the register.
