How to Turn Beep Delivery Pre-Orders On or Off, and Set Time Slot Limits

Who Is This For?

Beep Delivery merchants who want to turn pre-orders on or off, and who want to limit how many delivery pre-orders they accept in each time slot.

Overview

Pre-orders let your customer order now and choose a delivery time slot for later. Your customer places the order on your Beep Delivery store page, which merchants often call Beep or Beep-it. This guide shows you how to turn pre-orders on and off in your BackOffice, how to set a maximum number of delivery pre-orders per time slot, and what your customer sees when a slot is full.

This article covers pre-orders on Beep Delivery. It does not cover pre-orders on your POS register, which are a separate feature where your customer pays or leaves a deposit in advance and collects the order in store. For those, see How to Manage Products and Orders on POS.

Before You Begin

  • You must be able to log in to your StoreHub BackOffice.

  • Work in BackOffice on a computer. The steps below follow the BackOffice screens in a computer browser.


Step-by-Step Guide

Turn Pre-Orders On or Off on Beep Delivery

Use these steps to start accepting pre-orders, and the same steps to stop accepting them.

1. Log in to your BackOffice.

2. Go to 'Online Orders', then click 'Beep Delivery'.

3. Open the 'Store Settings' tab, then select your store.

4. Check that 'Sell this store's inventory on Webstore/Beep Delivery/QR Order and Pay' is ticked. This is one box for all of your online channels, so it is usually already ticked if your store is selling on Beep Delivery. The rest of the settings appear once it is ticked.

5. Scroll to the 'Beep settings' section.

6. Tick 'Receive pre-orders on Beep Delivery' to turn pre-orders on. Untick the same box to turn pre-orders off.

7. Click 'Save'.

Note:

  • The three pre-order settings in this guide ('Allow on-demand orders on Beep Delivery', 'Allow same-day pre-orders on Beep Delivery' and 'Set a maximum number of delivery pre-orders per time slot') appear only after 'Receive pre-orders on Beep Delivery' is ticked. If you cannot see them, tick that box first.

Let Customers Order for Today (On-Demand and Same-Day)

Two settings control whether your customer can order for today. Both are on by default.

  • 'Allow on-demand orders on Beep Delivery': When this is on, your customer can choose 'Immediate' and order for right now. When it is off, 'Immediate' is not shown to them.

  • 'Allow same-day pre-orders on Beep Delivery': When this is on, your customer can choose a later time slot on the same day. When it is off, the earliest slot they can choose is on your next opening day.

If you turn both off, your customer cannot order for today at all. They can only order for a future day. Click 'Save' after any change.

Set a Maximum Number of Delivery Pre-Orders per Time Slot

Limit the number of delivery orders accepted for a specific time window to prevent kitchen overload and ensure timely fulfillment.

1. In the same 'Beep settings' section, tick 'Set a maximum number of delivery pre-orders per time slot'.

2. Enter a whole number greater than 0, for example 3.

3. Click 'Save'.

Note:

  • The number must be a whole number greater than 0. Decimals are not accepted, and the field cannot be left empty once the box is ticked. If the number is not valid, you see the message 'Please input a whole number, and must be bigger than 0'.

How Many Orders Each Time Slot Can Take

Your customer picks a delivery time slot when they order, and each slot runs for one hour, for example 4PM to 5PM. The number you set counts delivery pre-orders, and it applies to each slot on its own and to each store on its own.

Example:

  • Your Beep Delivery opening hours are 10:00 AM to 8:00 PM, which gives you 10 one-hour slots (10AM-11AM, 11AM-12PM, and so on up to 7PM-8PM). You set the limit to 3, so each slot accepts up to 3 delivery pre-orders. Three customers choose the 4PM-5PM slot. The fourth customer sees 4PM-5PM greyed out and picks 5PM-6PM instead. Across 10 slots at 3 each, that is up to 30 delivery pre-orders for the day.

Choose the number from what your kitchen can prepare and hand over in one hour, not from what you want to sell in a day. Raising the number lets more orders land in the same hour. Lowering it spreads orders across later slots.

Why a Time Slot Shows Before Your Store Opens

Your customer can place a pre-order at any time, even while you are closed. The delivery slot they choose still has to fall inside your Beep Delivery opening hours. Hours are saved for each day on its own, so one day with the wrong hours offers the wrong slots.

Example:

  • Your weekday hours are 10:00 AM to 8:00 PM, so the earliest weekday slot is 11AM-12PM. You open at 12:00 PM on Saturday, so set the Saturday row to 12:00 to 20:00 and the earliest Saturday slot becomes 1PM-2PM. If Saturday still offers a 11AM-12PM slot, the Saturday row is still set to 11:00 AM.

To edit your hours, go to 'Online Orders', then click 'Beep Delivery', open the 'Store Settings' tab, select your store, and scroll to 'Beep Delivery opening hours'. Set the hours for each day, then click 'Save'.

What Your Customer Sees When a Slot Is Full

When a slot reaches the number you set, that slot is greyed out on your Beep Delivery menu and your customer cannot choose it. Your other slots are not affected, so your customer can still order for a different hour.

Troubleshooting

Problem

Solution

My customers cannot place a pre-order on my Beep store

Go to 'Online Orders', then 'Beep Delivery', open the 'Store Settings' tab and select your store. Check that 'Receive pre-orders on Beep Delivery' is ticked, then click 'Save'. Hours and settings are saved for each store on its own, so check the store the customer is ordering from.

A time slot is greyed out and my customer cannot choose it

That slot has reached the number you set in 'Set a maximum number of delivery pre-orders per time slot', or the slot falls outside your Beep Delivery opening hours for that day, or inside a break in those hours (a stretch in the middle of the day when your Beep Delivery store is set to closed). Check the number first, then that day's hours.

My customers can choose a slot before my store opens

Your hours for that day are set earlier than you open. Go to 'Online Orders', then 'Beep Delivery', open the 'Store Settings' tab, select your store, scroll to 'Beep Delivery opening hours' and set that day's row to your real opening time, then click 'Save'. Weekend hours must be set on the weekend rows.

A slot is full and I want to take more orders in that hour

Go to the 'Beep settings' section, raise the number in 'Set a maximum number of delivery pre-orders per time slot', and click 'Save'.

More orders came into one slot than the number I set

The limit is saved for each store on its own, so check that 'Set a maximum number of delivery pre-orders per time slot' is ticked, that the number is the one you want, and that both are saved on the store the orders came into. If the number is set correctly and that slot still took more orders than your number, contact StoreHub Support via Live Chat with the order numbers.

The number I typed in the limit field would not save

Enter a whole number greater than 0. Decimals and an empty field are not accepted while the box is ticked.

My customer chose the wrong delivery date

The delivery time cannot be changed once payment is completed. The merchant can switch the fulfillment method to merchant self-delivery and manage the delivery directly. Alternatively, contact StoreHub Support via Live Chat to cancel the order, then ask your customer to place a new order for their preferred date and time.

Note: Beep Delivery orders cannot be canceled directly in the BackOffice.


FAQs

1. How do I turn pre-orders back on for my Beep store?

Go to 'Online Orders', then 'Beep Delivery', open the 'Store Settings' tab and select your store. In the 'Beep settings' section, tick 'Receive pre-orders on Beep Delivery' and click 'Save'. The same box turns pre-orders off when you untick it.

2. Can my customer still order for right now if I accept pre-orders?

Yes, as long as 'Allow on-demand orders on Beep Delivery' is on. Your customer chooses 'Immediate' instead of a time slot.

3. I turned off same-day pre-orders. Why can my customers no longer order for today?

That is what the setting does. With 'Allow same-day pre-orders on Beep Delivery' off, the earliest slot your customer can choose is on your next opening day. Tick it again and click 'Save' to allow orders for later today.

4. If I close my Beep store on the delivery day, will a pre-order placed earlier still go ahead?

Yes. The pre-order stays scheduled. About 25 minutes before the chosen slot, the status changes from 'Pre Order' to 'Rider Found' or 'Pending Pick Up'. You can see the status in your BackOffice under 'Transactions', then 'Online'. When StoreHub arranges the rider, the kitchen ticket prints automatically at that point. If you deliver the order yourself or your customer collects it, tap 'Send to Kitchen' on your POS register to print the receipt and kitchen ticket before the delivery or pickup time.

5. When do I get paid for a pre-order?

6. Is this the same as a pre-order on my POS register?

No. This article covers Beep Delivery pre-orders, where your customer orders online and chooses a delivery time slot.
