Who Is This For?
StoreHub merchants who run promotions on the offline POS register, including merchants setting up a gift with purchase, a voucher campaign, or different prices at different quantities.
Overview
This article guide covers the setups merchants ask for most often: a free gift with purchase (GWP), a voucher campaign, tiered prices for the same product, and how to count how many gifts or vouchers have been claimed.
For the 6 types decision table and the rule that POS and online promotions must be separate records, see How to Get Started with Promotions.
For Webstore, Beep Delivery, QR Order and Pay, or Free Shipping, see How to Set Up Online Promotions.
For Basic Promotion setup, see How to Set Up POS Promotions.
Before You Begin
You use a StoreHub Advanced or Pro plan.
You can edit promotions in BackOffice.
Staff can sync the POS register after you save changes. Syncing is how a register picks up your latest BackOffice settings. On the POS app, log in with your PIN, tap the 'Menu' icon, then tap 'Sync'. See How to Set Up and Update Your POS App.
You created a separate online promotion if you also sell on Webstore or Beep channels.
You can create products in BackOffice. The gift, voucher and tiered price setups below use a product priced at 0.00. See How to Manage Your Products.
Step-by-Step Guide
Give a Free Gift With Purchase (GWP) on POS
A gift with purchase (GWP) is a free item you hand over when a customer spends a set amount, for example a free tote bag when the bill reaches RM 300. BackOffice does not have a 'Free Gift' promotion type, so use the setup below.
Add the gift as a product priced at 0.00 (works for a spend amount)
1. In BackOffice, go to 'Products', then click '+ Add Product'.
2. Name the product so cashiers recognise it, for example 'Tote Bag (Free Gift)', and set the price to 0.00.
3. Click 'Save'.
4. Add the product to your POS layout so cashiers can find it quickly. In BackOffice, go to 'Settings', then 'POS Layouts'. See How to Manage Your POS Layouts.
5. Sync your POS registers.
6. Tell your cashiers to add 'Tote Bag (Free Gift)' to the bill when the total reaches RM 300.
7. If you run more than one gift level, for example a free tote bag at RM 300 and a tote bag plus a knot bag at RM 500, create one product priced at 0.00 for each gift and add them all to your POS layout. At RM 500 the cashier adds both gift products to the bill.
Note:
The gift is not added to the bill on its own. The cashier adds it. To count how many gifts you have given away, turn on stock tracking for the gift product as described in 'See How Many Gifts or Vouchers Have Been Claimed' below.
The Buy X Get Y For Free promotion requires you to select items from the same product, category, or product tag. It cannot apply to different items, such as buy 1 shirt and get 1 free tote bag.
Run a Voucher Campaign on POS (Give a Voucher Now, Redeem It Later)
Use this setup when you hand out vouchers at the counter, for example RM 10, RM 20 and RM 30 off, and customers come back later to use them. You print the vouchers yourself. In StoreHub you create one product for each voucher value and one promotion for each voucher value, so the discount applies correctly at redemption and you can count how many were used.
Create one product for each voucher value
1. In BackOffice, go to 'Products', then click '+ Add Product'.
2. Create one product for each voucher value and name it clearly: 'Voucher RM 10', 'Voucher RM 20', 'Voucher RM 30'.
3. Set the price of each voucher product to 0.00.
4. Check 'Track stock level' and enter how many vouchers of that value you printed. See How to Set Up and Track Product Inventory.
5. Click 'Save', then add the voucher products to your POS layout (in BackOffice, go to 'Settings', then 'POS Layouts').
6. To create many voucher products at once, import them with a CSV file instead of adding them one by one. See BackOffice: How to Import Products Using CSV.
Create one promotion for each voucher value
1. Go to 'Promotion', then select '+ New Promotion'.
2. Type a promotion name that matches the voucher, for example 'Voucher RM 10 Redemption'.
3. Choose stores and select channel 'POS'.
4. Under discount type, select 'Take Amount Off' and enter 10.
5. Tick 'Require Specific Product Purchase', choose 'Specific Products', add 'Voucher RM 10', and set minimum quantity 1.
6. Under 'Apply to', choose 'All Orders'. Choose 'Orders over or equal to' instead if the voucher has a minimum spend. Do not add the voucher product itself under 'Apply to', or the discount lands on the voucher line instead of the rest of the bill.
7. Click 'Save', then sync your POS registers.
8. Repeat for 'Voucher RM 20' and 'Voucher RM 30'.
If your voucher is a percentage instead of a fixed amount, for example 20% off, choose 'Take Percentage Off' at step 4 and enter 20. Every other step stays the same. A percentage promotion applies only when the products in the bill share the same tax setting.
Example:
A customer spends RM 180 and wins a RM 10 voucher. Your cashier hands over the printed voucher. On the next visit the customer buys RM 65 of items and shows the voucher. The cashier adds 'Voucher RM 10' to the bill and the RM 10 discount applies, so the customer pays RM 55.
Note:
Create one promotion per voucher value. Collect the paper voucher when the customer redeems it so it cannot be used twice. Test the setup on your POS before you tell customers about the promotion.
Set Up Tiered Prices for the Same Product (Buy 3, Buy 5)
Use this when the same product costs less at higher quantities, for example a T-Shirt at RM 35 each, 3 for RM 60 (RM 20 each), and 5 for RM 75 (RM 15 each). Give each tier its own trigger product (a product priced at 0.00 that exists only to switch one promotion on), so each tier stays separate and the cashier controls which one applies.
1. In BackOffice, go to 'Products', then click '+ Add Product', and create two products priced at 0.00 named 'Bundle of 3' and 'Bundle of 5'.
2. Add both to your POS layout (in BackOffice, go to 'Settings', then 'POS Layouts').
3. Go to 'Promotion', then select '+ New Promotion' and name it 'T-Shirt Bundle of 3'.
4. Choose stores, select channel 'POS', and under discount type select 'Override Existing Price'.
5. Enter 20 as the price, which is the price per T-Shirt in this tier.
6. Tick 'Require Specific Product Purchase' and add two rows. Click 'Add Product' to add the second row:
a. Specific Products: 'Bundle of 3', Min Quantity 1
b. Specific Products: 'T-Shirt', Min Quantity 3
7. Under 'Apply to', choose 'Specific Products' and add 'T-Shirt'. Set Min. Quantity 3 and Max. Quantity 3 so this price only covers the 3-piece tier.
8. Click 'Save'.
9. Repeat for the 5-piece tier: name it 'T-Shirt Bundle of 5', enter 15 as the price, require 'Bundle of 5' at Min Quantity 1 and 'T-Shirt' at Min Quantity 5, and set 'Apply to' to 'T-Shirt' with Min. Quantity 5 and Max. Quantity 5.
10. Click 'Save', then sync your POS registers.
Note:
At the counter the cashier adds 3 T-Shirts and then taps 'Bundle of 3' to switch the tier price on. The tier price does not apply on its own, because the trigger product tells the POS which tier the customer chose. Test the setup on your POS before you tell customers about the promotion.
See How Many Gifts or Vouchers Have Been Claimed
Turn on stock tracking for the gift, voucher or bundle product and the POS counts every redemption for you.
1. In BackOffice, go to 'Products', and open the product, for example 'Voucher RM 10'.
2. Check 'Track stock level' and enter the number you printed as the starting quantity.
3. Click 'Save'.
4. Check the quantity left on the 'Products' page during your campaign. Every time a cashier adds that product to a bill, the number drops by one.
Important:
The stock level counts redemptions. It does not stop the promotion. Your POS can still add the product when its stock reaches 0, and the stock level then goes below 0. Check the number during your campaign and disable the promotion once you reach your limit.
Discount Voucher QR Codes on Receipts
Receipts cannot print a discount voucher QR code. There is no setting that adds a scannable RM 10, RM 20 or RM 30 voucher to the receipt after payment.
Receipts can print other QR codes. The e-Invoice QR code is set on your POS under 'Settings', then 'Printer', then 'Receipt Settings'. Stores that use membership can also print a join membership QR code on the receipt.
To give customers a voucher after they pay, use one of these instead:
Print your own paper vouchers and hand them out at the counter, then set them up as described in 'Run a Voucher Campaign on POS' above.
Run a spin the wheel, spin to win, or lucky draw at the counter with a physical wheel, and hand the winner the matching printed voucher.
Send rewards to members automatically with membership tiers and rewards.
Give a promo code for your online channels, as described in How to Set Up Online Promotions.
Troubleshooting
Problem | Solution |
The free gift is not added to the bill on its own | The gift is a product priced at 0.00, so the cashier adds it when the bill reaches your set amount. Check the gift product is on your POS layout and sync the register. |
The voucher discount does not apply when the voucher product is in the bill | Open the promotion for that voucher value. Check 'Require Specific Product Purchase' points to the matching voucher product with minimum quantity 1, channel 'POS' is ticked, the dates are valid, then sync the register. |
The 3-piece or 5-piece price does not apply | The cashier must add the trigger product ('Bundle of 3' or 'Bundle of 5') to the bill. Also check the minimum and maximum quantities under 'Apply to' match that tier. |
The customer already paid and the discount was missed | Add the promotion, the free gift or the voucher product to the bill before you take payment. If payment is already done, you can proceed to cancel the transaction and rekey in the sales again. |
Voucher stock shows a negative number | Stock level counts redemptions, it does not block a sale at 0. Disable the promotion once you reach your limit. |
FAQs
1. How do I set up a gift with purchase (GWP), for example spend RM 300 and get a free tote bag?
Create the gift as a product priced at 0.00, add it to your POS layout, and have the cashier add it when the bill reaches RM 300. If the gift is earned by buying named products instead of by spending an amount, use 'Buy X Get Y For Free'. For more than one gift level, for example RM 300 and RM 500, create one product priced at 0.00 for each gift, and the cashier adds the gifts that match the amount.
2. Can I print a discount voucher QR code on my customer's receipt?
No. Receipts can print the e-Invoice QR code and the join membership QR code, but not a discount voucher QR code. Hand out printed vouchers and set up one 'Take Amount Off' promotion for each voucher value.
3. How do I run a spin the wheel, spin to win, or lucky draw for vouchers?
Run the wheel at your counter and hand the winner a printed voucher. In StoreHub, create one voucher product and one 'Take Amount Off' promotion for each voucher value, so the discount applies when the customer redeems it.
4. Can I limit how many customers claim my voucher?
Check 'Track stock level' on the voucher product and enter the number you printed. The stock level counts each redemption, but it does not stop sales at 0, so check the number and disable the promotion when you reach your limit.
5. Can one product have two prices at different quantities, like 3 for RM 60 and 5 for RM 75?
Yes. Create one trigger product per tier ('Bundle of 3' and 'Bundle of 5') priced at 0.00, then build one 'Override Existing Price' promotion per tier. The cashier taps the trigger product to switch that tier on.
6. Why is my discount taken off the whole bill instead of the one item?
'Require Specific Product Purchase' only sets the condition for the promotion to start. Set 'Apply to' to 'Specific Products' and add the item that should be discounted.
7. Can I give a voucher that is a percentage, for example 20% off, instead of a fixed amount?
Yes. Follow the voucher steps above, but choose 'Take Percentage Off' as the discount type and enter 20. Keep one voucher product and one promotion for each voucher value, so the right discount applies when the customer redeems it.
