Important Notes
This feature works for four specific modules: 'Stock Transfer', 'Stock Return', 'Purchase Order', and 'Stock Take'.
You must check the 'Include item details' box to see Product Name, SKU, Category, and quantities in your file.
If your report has more than 5,000 records, the system will email it to you instead of downloading it immediately.
How to Export Detailed Reports
1. In your BackOffice, go to 'Stock Management'.
2. Select the specific module you want to export:
'Purchase Orders'
'Stock Return'
'Stock Take'
'Stock Transfer'
3. Click 'Export to CSV' at the top right of the page.
4. A pop-up window will appear. Check the box for 'Include item details'.
5. Click 'Export'.
Notes:
If the file is small (under 5,000 items), the CSV file will download to your computer immediately.
If the file is large (over 5,000 items), you will see a message saying the file is being sent to your email. Check your email inbox in about 10 minutes for the download link.
The email will be sent to the address registered to your StoreHub account.
Understanding the Exported Report
When you open the CSV file (using Microsoft Excel or Google Sheets), you will see a detailed breakdown of your items.
The report will include the following key columns:
Transaction Info: Date, Reference Number, Supplier, and Outlet.
Note:
Depending on which module you're downloading, some might not have a Supplier column.
Product Info: Product Name, SKU, and Category.
Stock Info: Quantity (e.g., Ordered Qty, Received Qty) and Cost.
Frequently Asked Questions (FAQ)
1. What specific details are included when I check the 'Include item details' box?
The exported CSV will now include a line-by-line breakdown of every product involved in the transaction. This includes the product's name, SKU, category, and specific quantity/cost fields relevant to the module (e.g., 'Returned Quantity' for Stock Returns, 'Counted Qty' for Stock Take, 'Cost (RM)', etc.).
2. Why was my export file sent to my email instead of downloading right away?
This happens when the file size is very large (over 5,000 transaction records). Sending large files via email prevents errors and system timeouts. You should receive the file link within 10 minutes.
3. Why am I unable to find my downloaded file?
If the file was large, it may have been sent to your email. Please check your 'Spam' or 'Junk' folder for an email from StoreHub.
