How to Sign In, Sign Out, and Manage Shifts on POS

Who Is This For?

StoreHub merchants and employees who need to sign in to the register, open and close shifts, and manage the till (cash float) on POS.

Overview

This article covers using the register and managing the till. You will learn how to sign in and sign out (who is on the register; one person at a time), open and close shifts (when the till day starts and ends; float in/out), and enable the close-last-shift reminder, including setting the closing time of operations in BackOffice.


Before You Begin

  • Employees must be added in BackOffice first. Each employee gets a unique 4-digit PIN. Refer to this article for more details.

  • Only one employee can be signed in to POS at a time.


Step-by-Step Guide

Sign In and Sign Out

Employees sign in with their 4-digit PIN to make transactions. Only one employee can be signed in at a time.

Sign In

1. On the POS register, tap the 'Log In' tab.

2. Enter your unique 4-digit Employee PIN.

Note:

  • If another employee is already signed in, they must sign out first (see below).

Sign Out

1. On the POS register, tap the menu icon (three lines) on the top left corner.

2. Tap 'Sign Out'.

Note:

  • After signing out, the next employee can sign in with their own PIN. Each employee's transactions are tracked separately under their PIN.


Open and Close Shift

Opening a shift starts the register for the day. Closing a shift generates a shift report that tracks sales, refunds, and cancelled orders.

Open Shift

1. Sign in to the StoreHub POS app using your 4-digit PIN.

2. Tap the 'Open Shift' button at the bottom right corner.

3. Enter the starting amount (the cash float), then tap 'Confirm'. Your shift is now open.

Close Shift

1. Tap the menu icon (three lines) on the top left corner.

2. Tap 'Close Shift'.

3. Tap 'Close Register'. A screen will appear for you to enter the closing amount (the cash in your cash drawer).

4. Enter the closing amount, then tap 'Confirm'. Your shift is now closed.

Note:

  • If you want the cash drawer to open automatically when opening or closing a shift, enable the 'Open Cash Drawer When Opening and Closing Shift' feature in BackOffice.


Enable Close Last Shift Notification

This feature reminds you to close a previous shift before starting a new one, so your reports stay accurate.

Note:

  • If a shift is not closed, there will be discrepancies in your reports. Always close the shift when the operating day ends.

Set Closing Time of Operations in BackOffice

The reminder and your daily reporting cycle are based on the closing time you set in BackOffice. All reports follow a 24-hour cycle from that time.

1. In your BackOffice, go to 'Settings', then open the store or section where operating hours are configured.

2. Find 'Closing time of Operations' and select the time from the dropdown (e.g. 12 am, 5 am). The day starts from this time and runs until one minute before the same time the next calendar day (e.g. if 5 am is the closing time, the day runs from 5 am until 4:59 am the next day).

3. Save the settings. The close-last-shift reminder on POS will use this time.

Enable the Reminder on POS

1. On the POS register, tap the menu icon, then tap 'Settings'.

2. Under the 'General' section, toggle on 'Close Last Shift Notification'.

3. If you have not closed a previous shift, a pop-up notification will appear at the top of your screen. The reminder appears based on the closing time of operations selected in BackOffice.

  • The prompt is based on the time selection in BackOffice (Closing time of Operations).


Troubleshooting

Issue

Solution

Cannot sign in with PIN

Make sure the employee has been added in BackOffice and has a 4-digit PIN assigned. If the PIN was recently changed in BackOffice, sync the POS first before trying to sign in with the new PIN.

Open Shift button not appearing

Another shift may already be open. Close the previous shift first.


FAQs

1. What happens if I forget to close a shift?

Enable the Close Last Shift Notification feature and set closing time of Operations in BackOffice. The reminder will prompt you to close the previous shift before opening a new one. If a shift is not closed, report figures can be wrong.
