Important Notes
When enabling BIR features for the first time, it is advisable to download existing reports and transaction data beforehand, as the initial setup might influence how historical data is presented or accessed.
Enabling BIR features primarily formats reports for compliance; your core product data remains unchanged in the BackOffice.
The E-Journal download process retrieves data stored in the BackOffice and delivers the report file via email.
POS Daily/Monthly Report
1. In the BackOffice under the Reports section look for BIR then click on POS report.
2. There will be options for you to choose the type of POS Report you’d like to view. The POS Report allows you to select the POS Daily and/or POS Monthly Reports.
3. Choose the Cash Register assigned and filter out your preferred Date and click on Download POS Report.
Z-Reading Report
For the Z-Reading section, you can see the Z-Readings right from your BackOffice!
1. In the BackOffice under the Reports section look for BIR then click on Z Reading Report.
2. You will be able to see the list of the Close Time in a table. You may filter out the date If you have a preferred date range.
3. When you click on your preferred transaction period, you'll be able to see a detailed breakdown:
E-Journal Report
The E-Journal is a BIR-mandated electronic record. It compiles copies of sales invoices, void/return receipts, X-Readings, and Z-Readings in chronological order within a specific .txt file format. The e-journal operates as an official record mandated by BIR, ensuring accurate sales reporting. It is a required document for compliance and is distinct from manual books of accounts, which businesses must also maintain for broader reporting purposes.
To request an E-Journal:
1. Go to the Reports section in the BackOffice menu. Under BIR, select E-journal.
2. Configure the report parameters:
Store: Select one specific store.
Cash Registers: Select one or more active registers associated with the chosen store.
Note:
Deleted registers will not be listed.
Date: Select the desired date range for the report.
3. Click the Download E-Journal button.
4. A notification window will appear confirming the request has been initiated:
5. Email Delivery: The E-Journal report will be sent to the email address associated with your StoreHub BackOffice login.
6. Downloading and Extracting the E-Journal Report.
Once you click the download button:
The E-Journal files will be compressed into a single ZIP file.
If you selected multiple registers, each register will have its own separate file inside the ZIP.
Each E-Journal file is grouped by day. Once downloaded, the .txt file can be opened using Notepad or other text editors. To print the e-journal, use any basic text editor. If a different format is desired, consider converting the .txt file into a PDF. However, note that the officially required format for submission to BIR remains the .txt file.
Handling Export Failures:
If the download fails, you will receive an email notification, and you should retry the download by following the instructions starting from Step 1 above. If your E-Journal file appears blank, ensure that you selected a time period with recorded sales transactions. Additionally, verify that the correct store and active cash registers were chosen during report generation.
Reviewing Individual Transaction Details
To view the specifics of a single transaction:
1. Navigate to the main Transactions section in the BackOffice menu.
2. Locate and click on the specific transaction line item you wish to review.
3. A detailed view of the selected transaction will be displayed.
