StoreHub Reports: Overview & Ground Rules

Who is this for?

StoreHub merchants who want a simple map of every report available, not just sales but what each one shows, where to find it, and the rules that apply to all of them.

Overview

Your StoreHub BackOffice gives you a range of reports that show how your business is doing - from daily sales to stock, staff, and tax. This guide is the starting point: it explains what reports are, maps every report and where to find it, and covers the rules that apply to all of them.


Before You Begin

  • Access to your StoreHub BackOffice (on a computer or tablet).

  • Reports are best viewed on a computer or tablet, not the POS app.


What Are Reports and Why Do They Matter?

Reports break down your business data in different ways, helping you understand:

  • What sells best: your most popular products or categories.

  • When you're busiest: sales trends by hour, day, or month.

  • How customers pay: your most-used payment methods.

  • How your team is doing: sales made by each employee.

  • What's happening with stock: your stock value and any stock loss.

  • What you owe in tax: your tax breakdown for the period.

  • Overall business health: revenue, discounts, and costs at a glance (start with the 'Sales Over Time' report).


Ground Rules (these apply to every report)

  • How long your data is kept: StoreHub keeps your report data for 2 years. The Stock Loss report and the Audit Trail are the exceptions - about 6 months. To keep older records, export and save your reports regularly.

  • Cancelled vs. voided vs. refunded: A 'Cancelled' transaction (a whole sale that was voided) is not counted in your sales totals. Voiding a single line item is different, only that item is removed and the rest of the sale still counts. A 'Refunded' transaction is counted in 'Total Sales'; the refund is tracked separately as a return (shown in 'Total Sales Returned'), not subtracted from 'Total Sales' - 'Net Sales' is the figure that already subtracts returns.

  • How up to date your report is: each report shows a 'Data last updated on…' time at the top - its when it last captured data. 'Sales Over Time' refreshes about every 20–30 minutes. If a recent sale is missing, it may not be included yet, wait for the next update and refresh.

  • Philippines (BIR): for stores registered with the BIR (Bureau of Internal Revenue), every transaction entered in the POS must appear in your reports - you can't leave any out.

  • POS-side reports are fixed: the reports shown on the POS itself can't be customized. To filter, group, or see service charge separately, use the reports in BackOffice.

Where to Find Your Reports

Most reports live in your BackOffice under the 'Reports' menu.

1. Log in to your StoreHub BackOffice.

2. On the left-hand menu, click 'Reports'.

3. Choose the report you want from the list:

Troubleshooting

Problem

What to do

A recent sale is missing

Check the 'Data last updated on…' time at the top of the report, recent sales may not be included yet. Wait for the next update and refresh.

My report shows zero or no data

Check your date range (top right) and any store or channel filter you've set, the most common cause is a date range or filter that excludes your sales.

My older data is gone

Reports keep 2 years of data; anything older had to be exported earlier. Going forward, export and save regularly.

I can't find a report in the 'Reports' menu

Some reports live in other menus: Employee Performance is under 'Employees'; Stock Value and Stock Loss are under 'Stock Management'. BIR reports are inside 'Reports', in the 'BIR' section.

I can't see the 'Reports' menu at all

Report access can depend on your staff role. Ask your account owner to check your permissions under 'Employees'.

The report page is blank or won't load

Refresh the page or try a different browser. If it still won't load, contact Support.

My numbers don't match between two reports

FAQs

1. Can I view sales from 'Online' and 'Offline' channels together?

Yes. The 'Sales Over Time' report combines all your sales data (POS, Beep Delivery, QR Order & Pay) into one view by default.

2. Why don't two of my reports show the same total?

Yes. Almost all reports have a 'Filters' button that allows you to view data for a specific store branch if you have multiple locations.
