The Goods & Raw Materials report is a yearly stock movement report required by the Thailand Revenue Code. This guide explains how to give employees access to the report, export it for one or more stores, and read the data inside the downloaded file.

Notes:

  • This report is available for businesses in Thailand only.

  • You can export reports for the year 2024 onwards.

  • Only one export at a time can be processed for your business. You cannot start a new export if one is already in progress.


Before You Begin

  • Access to BackOffice (log in at your StoreHub BackOffice URL).

  • Your business is registered in Thailand. The report is not available in other countries.

  • The employees who need to export the report have the correct permissions enabled. See the first section below for steps.

  • A stable internet connection.


Step-by-Step Guide

Set Employee Permissions for the Report

Before exporting, you must ensure that any employee who needs to access this report has the correct permissions enabled.

To learn how to edit employee permissions, please follow the steps in our guide.

When following the guide, look for the 'Stock Management' section and tick the checkbox for 'Goods & Raw Materials Report' to grant access.

Note:

  • If an employee already has access to the entire Stock Management section, they will automatically be given access to this new report.


Export the Report

Once permissions are set, you can export the report.

1. In your 'BackOffice', go to 'Stock Management', then click 'Goods & Raw Materials'.

2. On the report page, select the 'Store(s)' and the 'Year' you want to export. You can select one, multiple, or all stores.

3. Click the 'Export' button. A pop-up will appear confirming the process has started.

Notes:

  • The final report will be sent to your email address once it is ready.

  • Only one report can be exported at a time.

The report will be processed in the background. Once it's ready, you will receive an email with a download link.

The downloaded file will be a ZIP file.

Examples:

  • Single Store:

Understand Your Report

After you download and open the ZIP file, you will find one or more CSV files inside. A new CSV file is created for every 500,000 rows of data.

Here is what each column in the CSV file means:

Column Name

What It Means

Product Name

The name of the product. If a product was deleted, its name will appear with (deleted).

SKU

The Stock Keeping Unit (SKU) of the product.

Store Name

The store where the stock change happened.

Ref. Document Number

The reference ID for the action (e.g., Receipt Number, Purchase Order ID).

Date

The exact date and time the stock change happened (in 24-hour format).

Employee

The name of the employee who performed the action.

Action

The type of stock activity that occurred (e.g., Sales, Stock Take, Purchase Order).

Quantity In

The number of items added to your stock.

Quantity Out

The number of items removed from your stock.

Balance

The final stock quantity of the product after the change was made.

Understanding the 'Ref. Document Number'

This number helps you trace where the stock movement came from.

Update

These will be left blank. If stock is updated manually, StoreHub cannot guarantee the reason for the change. You might need to provide this information yourself for compliance.

Bulk Import

These will be left blank. If stock is updated through bulk import, StoreHub cannot guarantee the reason for the change. You might need to provide this information yourself for compliance.

Troubleshooting

Issue

Solution

The 'Export' button is greyed out or shows 'Exporting'.

Another export is already running for your business. The system processes one export at a time. Wait for the current export to finish. You will receive an email once it is complete, then the button will become available again.

My export failed.

You will receive an email when an export fails. Click the 'Try Again' button in the email to return to the report page and start the export again. If the problem continues, contact StoreHub Support via live chat.

I cannot find the 'Goods & Raw Materials' page in BackOffice.

The page only appears for Thailand businesses. If your business is registered in Thailand and the page is missing, your employee role may not have permission. Ask your account admin to enable the 'Goods & Raw Materials Report' permission for your role.

I do not see data for a year I expect.

The report only covers the year 2024 onwards. Reports for the previous year become available on January 1st of the next year (e.g., the 2025 report is ready on January 1st, 2026).


FAQs

1. When can I download the report for the previous year?

Reports for the previous year become available on January 1st. For example, the report for 2025 is ready to download on January 1st, 2026.

2. Why are some 'Action' rows missing a Ref. Document Number?

Manual stock updates and bulk imports do not have an originating document, so the Ref. Document Number is left blank for those rows. For compliance, you may need to provide the reason for those changes yourself.

3. Can I export reports for more than one year at a time?

No. Each export covers one year. Run the export again for each year you need.
