Who Is This For?
StoreHub merchants running an F&B business who need to set their store's closing time so that daily sales reports are recorded correctly.
Overview
If your F&B store operates past midnight, you need to tell StoreHub when your business day ends. The closing time setting controls how BackOffice groups your sales into daily reports and directly affects your X and Z readings for daily reconciliation.
Example:
If you close at 3:00 AM, all sales from 3:00 AM today until 2:59 AM tomorrow count as one business day. If this is not set correctly, transactions may be split across two days, causing issues with your Z readings.
This article covers how to set, change, and understand the impact of your closing time.
Before You Begin
You must have access to your StoreHub BackOffice.
You need to know your store's actual closing time (or the latest time you expect to process orders each day).
Understand the impact of closing times on X and Z readings for operational and financial tracking. See this article for more details.
Step-by-Step Guide
Set or Change Your Closing Time
1. In your BackOffice, go to 'Settings'.
2. On the 'Account Settings' page, tap the 'General' tab.
3. Scroll down to the 'Closing Time of Operations' section.
4. Select your closing time from the dropdown. The time is in 24-hour format (e.g. select 03:00 if you close at 3:00 AM).
5. Tap 'Save'.
Notes:
All reports follow a 24-hour cycle based on this setting. If your closing time is 5:00 AM, your business day runs from 5:00 AM until 4:59 AM the next calendar day.
The system automatically generates Z readings at midnight. Set your closing time to match when your store actually stops taking orders, so your Z readings capture all transactions for the day.
For best results, set your closing time slightly after your last expected order (e.g. if your last order is usually around 1:00 AM, set closing time to 02:00 or 03:00).
To change the closing time later, follow the same steps above and select a new time. To reset to the default, select 12:00 AM (midnight) from the dropdown and tap 'Save'.
Changes to the closing time take effect from the next business day. Reports for the current day will still use the previous closing time.
The default closing time for new accounts is 12:00 AM (midnight). If your store closes before midnight every day, you do not need to change this setting.
Troubleshooting
Issue | Solution |
Daily sales report shows orders from two calendar days mixed together | Your closing time may not match your actual operating hours. Go to 'Settings', tap the 'General' tab, and check the 'Closing Time of Operations'. Set it to match the time your store actually stops taking orders, then tap 'Save'. |
Sales from late-night orders are appearing on the wrong day's report | This is expected if your closing time is set earlier than your last order. Update the closing time to a time after your last order of the day (e.g. if your last order is at 2:30 AM, set closing time to 03:00). |
Z reading shows zero transactions or missing sales | Your closing time may not match your actual operating hours. Make sure the closing time is set after your last order of the day. The system generates Z readings at midnight, so a mismatch can cause transactions to appear on the wrong day's reading. |
POS is not reflecting the new closing time | After changing your closing time in BackOffice, sync your POS to apply the change. Go to 'Settings' on your POS and tap 'Sync' to pull the latest settings. |
FAQs
1. What does the closing time setting do?
It tells StoreHub when your business day ends. All sales reports and X/Z readings follow a 24-hour cycle based on this time. For example, if you set it to 5:00 AM, your business day runs from 5:00 AM until 4:59 AM the next morning.
2. What should I set my closing time to?
Set it to the latest time your store could still be processing orders. If you usually close at 1:00 AM, set it to 02:00 or 03:00 to give yourself some buffer. This makes sure all transactions are captured in the correct day's Z reading.
3. How does the closing time affect my X and Z readings?
Your X and Z readings follow the 24-hour business day cycle set by the closing time. If the closing time does not match your actual operating hours, transactions may be split across two days, causing your Z reading to show incorrect totals or zero transactions.
4. Do I need to set this up if my store closes before midnight?
If your store closes before midnight every day, you can leave the default setting. This setting is mainly for F&B stores that operate past midnight.
5. Will changing the closing time affect my past reports?
No. Changing closing time only affects how future business days are grouped. Past reports stay the same.
6. Does the POS need to sync after I change the closing time?
Yes. After changing your closing time in BackOffice, open the StoreHub POS app and sync your settings to make sure the change is applied.
