SQL Accounting

What is SQL Accounting Software?

SQL Accounting is a popular business accounting software widely used by SMEs in Malaysia and Southeast Asia.

It allows merchants to record and manage business transactions — including sales data — in a structured and compliant way.

By integrating StoreHub with SQL Accounting, merchants can:

  • Automatically transfer sales transactions from StoreHub into their accounting system

  • Save time on manual data entry

  • Reduce errors and ensure accurate financial records

Note:

  • You’ll need to already be an SQL Accounting user to use this integration with StoreHub.


Step 1: Install the SQL Import Program

To import StoreHub sales into SQL Accounting Software, you’ll first need to install the SQL SLPH Import Program. This is a utility tool that enables data transfer between systems.

Steps to Install and Use the SQL SLPH Import Program

1. Download the Import Program

Notes:

  • This feature is not supported on Mac iOS.

  • Make sure both your source (StoreHub) and target (SQL) databases have matching item codes for successful imports.

2. Install the Program

  • Run the downloaded installer and follow the on-screen instructions.

3. Configure the Program

  • Launch the SQL SLPH Import Program.

  • Set up the source and target SQL databases.

Notes:

  • Make sure the correct customer account is mapped — this is where your StoreHub sales will be recorded.

    • In SQL, all sales transactions must be linked to a Debtor (Customer) account.

    • You either:

      • Use an existing customer (e.g. “Retail Sales” or “Cash Customer”), or

      • Create a new one like "Walk-in", commonly used for general walk-in sales.

4. Ready for Import

  • After configuration, the program will be ready to import exported sales data into SQL Accounting.


Step 2: Setup in StoreHub BackOffice

1. Find or Create Your Customer Code in SQL

  • In SQL, all transactions must be linked to a Debtor (Customer) account. You can either use an existing account like “Retail Sales” or create a new one named "Walk-in", commonly used for general sales.

  • In your SQL software, go to 'Customer' and select 'Maintain Customer'.

  • Copy the Customer Code.

2. Paste the Customer Code into StoreHub

  • In your StoreHub BackOffice, go to 'Settings'. Click on 'Add-Ons' and then go to 'SQL'.

  • Paste the Debtor Code you copied from SQL into the 'Customer Account' field on the SQL Add-On settings page in BackOffice.

  • This tells StoreHub where to post your sales data.


Step 3: Export Sales Data from StoreHub

1. In BackOffice, go to Settings. Click on Add-Ons and then go to SQL.

2. Select your store and date range.

3. Click Export. A .csv file will be downloaded to your computer.


Step 4: Import Data into SQL Accounting

1. Open SQL Accounting Software.

2. Go to File > Run > SQL Acc XLS & MDB Import.

What This Step Is For

  • Purpose:

    • To import sales transaction data from StoreHub or other external sources into SQL Accounting.

  • Typical Use Cases:

    • Migrating from another platform (e.g. StoreHub).

    • Bulk uploading during setup.

    • Updating customer, item, or transaction data.

3. On the top menu, click Sales, then select 4. Invoice.

4. Click the dropdown next to Get File... (top right) and select Get File 2...

5. A pop-up will appear — change the delimiter from a comma (,) to a semi-colon (;).

6. Choose the .csv file you exported from StoreHub.

Note:

  • Filter by file type .csv to find it faster.

7. Drag TAX from SourceField to MappedField at the bottom right.

  • Match it with the TargetField labeled TAX.

8. Click 3. Verify.

  • If the data is correct, you’ll see “Ok” under Status.

9. Click Post to A/C to upload the sales data to your accounting system.
